This checklist is a guide, not a live readiness check. Caller name and contact details still need verification through a full call.
Details Alex should collect
- Caller’s name — requiredAsk what name to put on the booking; clarify spelling when needed.
- Callback numberConfirm the best number to reach the caller. Ask if caller ID is unavailable or a different number is preferred.
- Reason for the visitIdentify the appointment or service the caller wants and any relevant request.
- Preferred date and timeAsk for a specific day and time, then check the calendar. Offer available alternatives when necessary.
- Timezone and durationUse Sydney time for this test setup and make the 30-minute appointment duration clear.
- Invitation email — optionalAsk whether the caller wants a calendar invitation. If yes, collect and confirm the address. Do not invent an email or promise delivery.
- Clear agreement to bookMake sure the caller agrees to the selected appointment. A question about availability is not permission to book.
Before Alex says “you’re booked”
- Check current availability and resolve any unclear details.
- Create the booking through the backend and wait for a confirmed result.
- Tell the caller the confirmed date, time, timezone and duration.
- If booking fails or remains uncertain, explain that it is not confirmed and offer staff help.
Calendar access and booking actions run in the backend. No n8n booking node is needed.
